There was a different energy in the room. It was intense, efficient, and expectant. No one had to tell me there was no time to waste it was obvious. I knew it was an important opportunity, but at the time, I didnt realize how unprepared I was for it. Thankfully, it went well- but I realized that working with executives isnt exactly your typical meeting. As you grow in your career and are offered mora opportunities, youll likely have the chance to interact with those higher-ups, too. When you do, youll notice that they operate a bit differently. They read situations more quickly, get to the meanings behind the message, and have an uncanny ability to decipher numbers and recall information in a remarkable way. So if you want to be upwardly mobile (read get promoted), youll need to understand how to b e seen and heard by those senior-level managers most effectively. Start with these six tips for communicating with executives so you can start preparing for that higher-level interaction. 1. They Fly at a Different AltitudeTo have the most meaningful conversations, you have to understand your audience. Executives see across the whole organization (or industry) and connect the dots from top to bottom. So to connect most effectively with them, you need to understand how your subject of conversation fits into their worldview. To practice this, take a complex customer youre working with and practice presenting an update on your work with them. Youre deeply involved in the day-to-day detail of what the customer needs, if the shipment went out on time or a day late, and the challenging personalities of the client. But when youre speaking to an executive, you shouldnt focus on the day-to-day tribulations of account management. Instead, youll want to talk about the total revenue they genera te, the margin contribution, and your strategy to grow their business. Ask yourself, What does the CEO want to know about this account? and develop your werkstoff from there. 2. They Get to the PointSenior-level managers know how to quickly dive into an agenda item, dissect it, and ask scathingly good, on-point questions to evaluate it. And so, they may not need you to ramp up to the point of conversation by giving them all the background data youve prepared. Theyll drive the presentation if they have questions or need more background information, theyll ask. Have your agenda prepared, of course, but be ready to flex the conversation accordingly. On that note, anticipate the questions they might ask and prepare responses. One of the biggest gaffes I see in executive conversations is failing to answer questions adequately. If youre not sure what they want, ask clarifying questions (e.g. So what you want to know is how I plan to fund the project?) so you dont waste time providing the wrong information.3. They Want to Know You Believe in What Youre SayingConviction about what you say to an executive is just as important as the message itself. I was halfway through my first real executive meeting when I realized it was only partly about my proposal- and a lot about how I owned my proposal. The senior-level team wanted to know I had a proposal I would go to the wall for. Because if theyre going to go out on a limb to back it, they want to be sure Im not going to fold. I had one manager who struggled with this. Wed send him in to an executive meeting with program proposals and this caveat Whatever you do, dont blink. One time, he blinked. And it took us months to recover from the fallout of not getting the approvals we needed. To make an impact on executives, you must truly believe in what you are saying and have conviction that its the right solution for the organization.4. If Theres a Flaw in Your Logic, Numbers, or Content, They Will Find ItAnd they will point it out to you.When youre working with numbers- and you will always be working with numbers when executives are involved- know your data and logic inside and out. While youre preparing, have someone with content expertise review, poke, prod, and test your content- and you- ahead of time. This will help get you ready to dig deeper than whats on each PowerPoint slide. Dont risk destroying your credibility with bad numbers, or worse, guessing. If you arent sure about a number or an answer to a question, say youll look into it and come back.5. They Can Smell BS a Mile AwayIf you think about everything that executives are responsible for (like running an entire company), you can imagine that they have finely honed sensors that allow them to work quickly and focus only on whats most important. And they cant possibly do that by letting others waste their time with nonsensical issues or jargon like paradigm shifts, open kimonos, and eating your own dog food. So, dont do it. And if you choose t o do it, dont say I didnt warn you.6. Theyre Impatient, and They May Be Abrupt- Dont Expect a Group Hug When You LeaveIf youre presenting something, dont expect flowery kudos and high fives when youre done. Theyll be moving on to their next agenda item while youre gathering up your stuff. This doesnt mean they hated your ideas, though. Remember that efficient atmosphere I talked about earlier They have a lot going on and a lot on their shoulders. Your victory dance will come when you get to implement the proposal theyve accepted.(And when it happens, dance away. You deserve it.)Freaked out? Dont be. You can do this. Its a matter of developing the mindset and doing the footwork. (Another great tip? Executives have assistants who know exactly how to work best with them. Ask one for some insight on how that executive works, and what he expects to see in presentations.) The more prepared you are, the more confident youll be. Go on a walk to catch up with a friend instead of meeting for coffee. Cancel the brunch plans one week and schedule a spin class and post-workout smoothies with your girl friends. Not only will you get the quality time in a healthier way, but working out with a friend or two will hold you accountable to make sure you donât skip the workout.9. Have an easy and flexible backup plan so that you just donât completely give up when your plan doesnât work out. Going on a 30-minute walk after dinner or doing a yoga YouTube video before hopping in the shower are great ways to fit in movement and keep your self feeling motivated and good about your goals, even when your plan doesnât work out. Having a backup that you donât need to schedule when your plan falls through is crucial to staying on track.11. Create a vision boardSurround yourself with images and words that are motivating to you. If mantras are your thing, come up with your own, write it down, and post it on your mirror or somewhere where youâll see it often. You can also start a vision board filled with motivating images like a picture of yourself from when you remember feeling healthy and happy, or a magazine cut-out of someone achieving your goal (like crow pose or running a 5k). There are a few different things you can do to move past those frustrating roadblocks and make it to the other side of your search- with as little stress as possible. Here are three common job search challenges and how you can conquer them: 1. Avoiding the Resume Black Hole Youâll fill out your fair share of online applications when youâre looking for a new gig. And, while theyâre convenient (hey, it sure beats needing to drive to the office to wait unannounced in that lobby with copies of your resume in tow!), they can also make you feel somewhat invisible. You click that âsubmitâ button on that application you spent hours polishing, and youâre instantly met with that sinking feeling that itâll never actually find its way in front of human eyeballs. Itâs destined for a life floating aimlessly in that dreaded resume black hole. How to Deal: First of all, rest assured that this is a totally justified concern. Thanks to the prevalence of Applicant Tracking Systems (ATS), job applications typically need to make it through plenty of filters and screenings before they ever land on the hiring managerâs desk. So, how can you battle with those pesky robots? There are two things that will help you more than anything else. First and foremost, you need to tailor your resume to the job description- yes, for every single job you apply for. That ATS will be set up to look for certain keywords or phrases. If they donât appear on your document? Youâre well on your way to the trash bin. So, take the time to ensure you target your materials to the position at hand (and, of course, be honest!). Secondly, donât forget the benefit of following up. If a week or two has gone by and you havenât heard anything, donât hesitate to find a contact at the company that you can reach out to to check on the status of your application. Sometimes that human connection (and that demonstration of your interest!) is all you need to push your application to the next round. 2. Finding an âinâ with a Company Are you sick of the whole, âItâs not always what you know, but who you knowâ cliché? It might be a tired sentiment, but it still holds some water. Statistics say that anywhere between 70-85% of open jobs are filled through networking. But, what if you donât have any sort of personal connection to that company? Do you need to resign yourself to being yet another number on their applicant list? Or, is there a way to get your name in front of the right people and ensure that your resume stands out from all of the other anonymous ones that are in the pile? How to Deal: When it comes to leaping this hurdle, researching the company will be your very best friend. In addition to getting familiar with the overall company, you should also dedicate some detective work to researching current employees. Are you able to dig up the name of the relevant department leader? Or, maybe somebody in human resources? If youâre feeling extra brave, you can send a LinkedIn connection request with a personalized message stating that youâre excited to find out more about the job opportunity. Itâll go beyond that anonymity you often experience in your job search and allow the employer to put a face with the name.
